Alaska Esports is UAF’s competitive collegiate esports program; seven teams, three varsity, and a community built around the idea that this program should feel like home. We run campus tournaments, public gaming events, and live broadcasts out of the Wood Center.
The Events Coordinator owns the physical experience of every event this program runs; from concept to cleanup. You plan it, lead it, debrief it, and make it better next time. This is not a support position. All other staff support you during events. You make the calls on-site.

WHAT YOU’LL DO:
• Plan and manage program events from concept through debrief, including campus tournaments, open play nights, and public gaming events.
• Own the Asana events project: build task templates, assign work, track deadlines.
• Maintain the public master schedule for all on-campus program activities.
• Lead on-site event execution; all other staff report to you during events.
• Manage space logistics: room setup, decoration, and console cart management.
• Track attendance at every event and maintain the attendance log in Google Sheets.
• Write a structured debrief after each event: what worked, what didn’t, what changes.
• Build and maintain relationships with campus departments to drive co-programming opportunities.
• Manage the discretionary event spending pot and make final calls on how those funds are used.

What success looks like in your first semester:
• You’ve run at least 8 program events from concept through debrief.
• You’ve built working relationships with at least 3 campus departments outside the Center for Student Engagement.
• You’ve produced an event debrief log that the next coordinator could actually learn from.
• You can run an event without the program coordinator being in the room.

Weekly time breakdown:
Hours flex by week. Event weeks shift toward execution; non-event weeks shift toward planning.
The averages below are across the semester, not fixed weekly buckets.
• Event planning, Asana project management, and calendar: 7 hrs
• Campus outreach and department collaboration: 4 hrs
• Event execution and on-site management: 4 hrs
• Attendance tracking and event debrief documentation: 2 hrs
• Weekly debrief and lessons learned: 1 hr
• Weekly all-staff meeting: 2 hrs

SHARED STAFF EXPECTATIONS:
These apply to every staff member on the team:
• Attend weekly tactical meetings, monthly all-program meetings, and end-of-semester reviews.
• Complete weekly one-on-one check-ins with the coordinator.
• Keep documentation, trackers, and Asana tasks current, without reminders.
• Support program continuity: you are responsible for making sure whoever comes after you can do your job.

WHO WE’RE LOOKING FOR
No esports background required. We do require:
• Comfortable being the most-prepared person in the room when an event starts.
• Able to hold a deadline that other people are depending on.
• Willing to write down what went wrong without making excuses.
• Clear, professional communication with campus partners and the public.
• Comfort taking ownership and making decisions without constant direction.
• Availability for evenings and weekends throughout the academic year.
NOTE: Events happen evenings and weekends. This is not flexible. If your schedule cannot
consistently accommodate that, this is not the right fit.

Bonus not required, but valued:
• Naturally outgoing and personable
• Event planning or production experience
• Familiarity with project management tools (Asana, Notion, etc.)
• Background in esports or gaming communities
• Live event or broadcasting experience

Minimum Qualifications:

Applicant must be enrolled as a UA student taking a minimum of 6 credits per semester with a minimum GPA of 2.0 or a newly enrolled student. Applicant will need to be available for the full academic year (Fall through Spring).

Position Details:

This position is located on the University of Alaska campus in Fairbanks.

This is a Student Assistant 2 Position, minimum starting pay is $16.00 per hour. This recruitment is open to undergraduate students only.
