As a Program Support Specialist, you will play a vital role in ensuring the efficient operation of the nursing programs. You will respond to inquiries from students, staff, faculty, and the community via phone, email, or in person, providing key program information, including course availability, registration dates, admission requirements, and campus resources. Additionally, you will assist with a variety of administrative tasks, such as maintaining student records, supporting class scheduling, preparing documents, coordinating program activities and events, and attending committee meetings. You will be responsible for accurately recording meeting minutes, contribute to departmental communications, assist with managing program-specific databases, and handle advanced administrative duties, including supporting classroom activities and proctoring exams when needed. You will ensure the proper documentation of program policies, meeting minutes, and other essential records. Through these responsibilities, you will help promote an environment that supports academic success and continuous improvement within the nursing programs.
Candidates must be able to transition effectively between independent work and team projects. Strong written and verbal communication skills are essential, as this role serves as a key point of contact between the School and the community. Excellent planning and organizational abilities are crucial, as is the ability to track and organize data with attention to detail. Candidates should be skilled in prioritizing tasks, meeting deadlines, and maintaining inventory of equipment and supplies. Flexibility is also important, as candidates must be comfortable working in a dynamic environment, handling confidential information with discretion, and interacting effectively with leadership, students, faculty, staff, and community members. A commitment to working in a multicultural and medical education setting is vital, as is maintaining a professional and courteous demeanor to foster positive relationships within the diverse university community.
Minimum Qualifications:
High School graduation and three years progressively responsible office/administrative experience, or an equivalent combination of training and experience.
Experience in general office procedures, practice and use of standard equipment.
Preferred:
Experience in health care higher education
Position Details:
This is a full-time, non-exempt staff position complete with both a competitive salary and full employee benefits package. UA provides a generous compensation package that includes retirement options, annual leave, 12 paid holidays per year, tuition waivers for employees and family members, and affordable medical, dental and vision care coverage. New hires will be placed on the UA Staff Salary Schedule, Grade 77, based on education and experience.
