Position Summary:

The College of Arts and Sciences is looking for a team-oriented individual to join the Dean’s Office. This position provides administrative support for the Sr. Operations Manager, Dean and Associate Deans. This position is located on the Anchorage campus and will be primarily onsite with some opportunities for occasional remote work depending upon the situation. Duties:

40Academic/Faculty Support ● Provide support for the college committees (e.g. Course and Curriculum, College Advisory Boards); such as keeping records, creating agendas/minutes, inviting attendees etc. ● Coordinate faculty paperwork requiring dean approval (workloads, annual activity reports, development and travel grants, sabbatical requests, Innovate proposals, ConocoPhillips Endowment proposals, assessment, and program review, etc.). ● Support administrative side of graduate teaching assistant appointment process.Essential
60Administrative Support ● Point of contact for the Dean’s Suite. Greet visitors and answer the main college phone line. ● Provide administrative support for the Sr. Operations Manager, Dean and Associate Deans (route Docusign items, coordinate group meetings, reserve rooms, meeting tech support/set up). ● Provide billing/administrative support for the dean’s office and the Psychological Services Center. ● Manage Dean's calendar ● Provide administrative support for the correspondence relating to the formal academic dispute process. Assist the Associate Dean in gathering student and faculty names for service on the dispute resolution committees. ● Send reminders, collect information from hub staff or faculty, with a goal of one cohesive college view on items such as. ○ Missing grades, expiring incomplete grades, final grades ○ Syllabi submissions and checklists, look for consistency ○ Missing textbooks for courses ○ Student Evaluations ● Order supplies for office and breakroom; collect and sort mail; schedule repairs for general office space and equipment.Essential

● Proficient in the use of Microsoft Office Suite Programs (Word, Power Point, and Excel),
Google suite, databases, online data queries and reports.
● Knowledge of FERPA regulations.
Typical Experience:
Associate’s degree and two years progressively responsible experience related to the program
specialty, or an equivalent combination of training and experience.

Salary Information:

This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 77, based on education and experience.
