Do you enjoy working with others in a fast-paced office environment? UAS Ketchikan campus is hiring a Student Services Assistant. This position is the primary point of contact for the campus. Full-time, 12 month, non-exempt with benefits. An Associate's degree or a combination of education and experience is required. Must have good organizational skills, strong communication skills, and attention to detail. Must be reliable, courteous, and demonstrate experience working with others. Must be able to handle confidential material in a professional manner. Strong computer skills including the ability to produce print, multimedia, web materials, and advertising for radio.
10Assists the Student Services Manager in communicating with students (by mail, phone, or online) about deadlines, programs, or services. This includes but is not limited to, New Student Orientation, advising appointment reminder calls, progress checks, and monitoring the website for needed updates. Creates written materials including web content, advertising/marketing products, flyers, and event schedules. Proofreads, edits, layouts, and modifies documents and coordinates the printing, publishing, and distribution process. Assists with the creation, development, and maintenance of web and other electronic applications. Coordinates and/or assists with communication activities and events. Assists in the creation and maintenance of social media content.Essential
20Responsible for managing the scholarship application process including updating and posting applications, maintaining the FA Mailing list and online applications, receiving applications, gathering materials for committees, sending award letters to students, and notifying the financial aid office of recipients. Also maintains records of the overall impact of the individual scholarship programs and other duties as assigned.Essential
30Enters registrations in Banner accurately and completely, serving as the primary registration staff. Registration includes drops, withdrawals, and changes of status. Contact students regarding canceled courses, changes in meeting times, and additional sections. Provide class lists, grading lists, and student enrollment verification as needed to appropriate staff. Forward official records requests and changes to UAS-Juneau via scanning and indexing to OnBase.Essential
40Serve as the first and primary point of contact for the campus in person, by phone, and by e-mail. Greet, assist and explain processes for registration, admissions, payment, and other activities for the campus with professionalism and service to students and the public as a core value. Maintain office security functions including opening and closing access to the office. Utilize Banner, OnBase, and website/internet to provide information and problem-solve individual student's requests. Schedule appointments for advisors and others as requested. Adheres to FERPA regulations and confidentiality procedures. Answers correspondence regarding University requirements. Assists in performing recruitment and outreach activities to attract students to the UA system. Refers students to appropriate service centers. Uses judgment to provide appropriate assistance to students seeking appeals and petitions. Interprets and applies policies and procedures as appropriate. Assists with general office duties including copying, scanning, filing, shredding, and other office functions as requested.Essential
|Knowledge, Skills, Abilities:
- Ability to work in a fast paced environment.
- Data management and absolute dependence on accuracy.
- Works with a team in student registration, records, admissions, and student services.
- Knowledge of University environment.
- Ability to comprehend and apply university policies and procedures as they relate to students.
- Ability to operate various types of office machinery (i.e. copy machine, fax machine and computers).
- Strong self motivation skills and ability to follow through on complex assignments.
- Proficiency with personal computers and Microsoft Office suite programs.
- High level of communication abilities, communicate effectively in person and in writing, and knowledge of communication best practices.
- Ability to use databases.
Two years of student services experience. Banner experience preferred.
|Required Education or Training:
Associate degree and one year of relevant experience or a combination of education and experience.
Bachelor degree preferred.
This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 77, based on education and experience.
