Position Summary:

The person in this Business Office position provides the UAF Northwest Campus team with support for faculty, staff and students relating to business office, office management and human resources responsibilities.

Duties:

1-55Purchasing, Records Management, & Academic Support: Prepare payment for requisitions and invoices, check incoming shipments, reconcile services and merchandise with purchase orders, enter and extract financial information in Banner, communicate information to Accounts Payable Dept. in Fairbanks, and maintain accessible A/P files. Coordinate all purchasing for campus, including: researching options, tracking orders, requesting BPO's and resolving problems regarding orders, billings and payments. Reconcile cash sales, prepare bank deposits and communicate with UAF Business Office. Purchase office supplies, required textbooks, and computer and art supplies. Oversee year end operations for purchasing areas, ensuring completion and submission of pending orders, invoice approvals, book inventories, and open encumbrances by designated deadlines. Coordinate and arrange travel and accommodation for staff, students and faculty, submit travel claims and reports and reimbursement requests as needed. Enter, reconcile and maintain files for travel authorizations, expense reports and ProCard orders. Prioritize, organize and set priorities to ensure effective finance processes. Participate and recommend, as needed, in unit budget line item projections.Essential
2-30Office Management & Support: Serve as office manager and as administrative first point of contact. Coordinate equipment/room rentals, facility usage and setup, building security. Maintain telephone system, copier, postal and fax machines, office supplies, and checking out campus keys and vehicles. Collect and distribute post office mail. Serve on the UAF Clery Committee and update/manage the NWC Emergency Plan as needed. Disseminate pertinent information to staff and faculty from CRCD, UAF and UA. Other duties as needed and assigned.Essential
3-15Personnel Support & Human Resources: Provide logistical support and coordination for search committees and recruitment processes. Work with supervisors on orientation of new employee and timesheet submission. Coordinate employee training and work closely with CRCD HR department to process HR documents as needed.Essential
Knowledge, Skills, Abilities:
  • Computer proficiency, knowledge of advanced software application programs.
  • In depth knowledge and skills relating to accounting and electronic system functions or procedures.
  • Sound oral and written communication skills, effective interpersonal communication skills, and the ability to handle multiple tasks.
  • Effective prioritization, organizational, and independent judgment skills in determining methods of performing accounting and office management tasks.
  • Analytical and problem solving skills and ability to work successfully as a member of a team.
Required Experience, Education or Training:
High school graduation and three years progressively responsible fiscal/office
management/human resources experience or an equivalent combination of training and
experience.
Salary Information:

This is a full-time, 11-month, non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule (Nome), Grade 77, based on education and experience.
