Position Summary:

The School of Education at the University of Alaska Anchorage invites applications for an administrative assistant position with a start date of January 1, 2023. This position will provide administrative support to the Office of Professional and Continuing Education, the Coordinator of Professional Programs, and other team members and partners. This position will serve as an integral member of the PACE Shared Leadership team and will provide curriculum support, responsive service and communicate with partner organizations.

Duties:

15Leadership: Serves as an integral member of the PACE Shared Leadership team. Provide directions and procedures to faculty members and students to assure integrity of processes; provide supervision of student assistant(s) to include training and assigning projects.Essential
20Administrative duties: Provide comprehensive administrative support to the Office of Professional and Continuing Education, the Coordinator of Professional Programs, and other team members and partners. Serves as initial and continuing point of contact for the office, establishing a positive, responsive, and effective flow of communications and follow-through with external and internal connections. Develop, manage and maintain electronic and hard-file systems for tracking courses, instructor requirements, and other documents. tracking and retention to assure accuracy and timely submission of materials and records related to the department including tracking of human resource compensation for adjuncts: use BANNER student and reports database, BBGenius or other appropriate system, and PACE internal database extensively to access, update and retrieve student information relevant to the office. Supports the dissemination and compilation of course evaluations. Research, develop and provide statistical reports as needed. Cross-trains with and serves as the back-up for other PACE team members as needed. Performs other duties as needed and assigned.Essential
20Coordination and facilitation: Serves as a project leader for PACE events and significant partnerships. Provides logistical and marketing/public relations support for courses, projects, and programs as appropriate; serves as an initial point of contact for PACE course sponsors; and, is responsible for accurate and efficient dissemination of information. The incumbent tracks work in progress and notifies appropriate staff of pending actions to ensure deadlines are met; assists in maintaining up-to-date data on UA Banner systems as well as enter and retrieve data from the database. Coordinates travel arrangements for events, secures meeting locations, and schedules meetings. Interprets policies, procedures, rules and regulations promulgated outside of the School of Education and is charged with accurately communicating and applying them. Examples include, but are not limited to, FERPA, UAA enrollment and curriculum policies and procedures, and State of Alaska certificate and licensing application rules and procedures. Independently evaluates and meets complex program/project needs.Essential
45Curriculum support: Provides timely curriculum support and responsive service and communications with partner organizations and their representatives. Includes distribution of informational packets; course/curriculum and instructor proposal intake; preparation, review, follow up, processing, and tracking. Involves editing and proofreading all syllabi to ensure adherence to the appropriate UAA/SOE/PACE course and curriculum procedures. Acts as initial point of contact and resource home-base for course sponsors. Provide curriculum information and assistance to faculty, staff, students, and the general public related to department, general university regulations, course approval status, class schedules, and grades. Maintain continued contact with course proposers to disseminate information, track paperwork deadlines, and communication. Nurtures positive relationships with partner organizations.Essential
Knowledge, Skills, Abilities: • Highly developed interpersonal and communication skills, positive attitude, flexibility and adaptability, and strong service commitment are essential
• Proficiency in common software computer applications
• Excellent editing and proof-reading skills
• Excellent organizational and problem-solving skills; ability to exercise independent judgment and maintain confidentiality
• Ability to prioritize workload and follow through to meet competing deadlines, goals and objectives
• Ability to work effectively both independently and as an integral part of a collaborative team
• Non-profit service work experience preferred
• Background in or familiarity with curriculum development preferred
• Familiarity and experience with BANNER preferred
Typical Experience:
Minimum of two years of experience in a professional environment
Required Education or Training:

Bachelor’s degree or equivalent combination of education/training and experience

Salary Information:

This is a full-time, term-funded, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 77, based on education and experience.
