The UAS admissions, registration and financial aid office is seeking a Student Information Specialist.
This position is the first point of contact for the Office of the Registrar and Admissions' office (One Stop
Shop) and must have a general knowledge of all aspects of the university as this area is considered the
general information desk for the entire university.
10DOCUMENT IMAGING/RECORD RETENTION:
Participate in statewide imaging work team; represent UAS needs and concerns. Train new users on the imaging system and provide technical assistance.
Process documents for digital imaging and confirm they are in compliance.
Scan appropriate documents, index, view, and edit files, upload into the workflow for distribution to
appropriate functional areas, and maintain document archives.
Maintain original paper documents for the required retention period and prepare for destruction or
15ADMISSIONS & FINANCIAL AID:
Provide first level support;
Support applicant processing;
Provide backup support to the office staff as needed;Essential
Process registration forms, add/drop forms, and FERPA release forms;
Prepare any correspondence in reference to transcript holds and registration issues
Apply problem-solving and research skills to resolve registration issues.
Process paper transcript requests.Essential
60ONE-STOP FRONT COUNTER:
Opens and closes front counter and office.
Serve as the general information desk for the entire university.
Disseminate information, assist students, faculty, and staff with a wide array of academic
registration and enrollment services.
Update institutional databases with student educational and information records, maintaining
strict confidentiality of records information by adhering to FERPA regulations.
Monitors general office email account.
Process all incoming mail.
Maintains Admissions and Registrar's Office websites.
Back up the other records, admissions, and financial aid staff positions.
Accept and check all Registrar’s Office documents for accuracy and complete information.Essential
|Knowledge, Skills, Abilities:
- Acute attention to detail, exceptional customer service, prioritizing skills, ability to retain detailed information across multiple semesters (throughout the year), organizational skills, working independently, communication skills, multi-tasking, time management, multiple computer software usage.
- Ability to maintain the confidentiality of information.
- Must have effective verbal communication.
- Work with a diverse population with conflict resolution skills.
- Skilled in the use of office machinery (ie copy machine, fax machine, multi-line phones, scanner.)
- Effective conflict resolution and problem-solving skills.
One year of office experience or an equivalent combination of training and experience is required.
Previous experience working successfully with people of diverse cultural and ethnic backgrounds is preferred.
|Required Education or Training:
High school graduate or GED and one-year college coursework in the related fields is required.
This is a full-time, 12-month (with one-month negotiable (11 months), non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 76, based on education and experience.
