Duties:

1-40Office Support: •Operate as front-line for incoming/outgoing correspondence and assist with routine grant project planning, support and coordination. •Provide clerical support for the Project Manager. •Compile information for reports, directories, internal/external communications, create and maintain spreadsheets. •Review and verify documents are complete and conform to established regulations and protocols. •Edit with consistency and accuracy. •Troubleshoot and resolve problems that may arise during day-to-day office operations. •Organize and maintain supply inventory and perform routine procurement purchases. •Assist with travel as needed, for Project Manager. •Operate, maintain and troubleshoot office equipment as needed.Essential
2-30Project Coordination: •Participate in project design meetings and propose ideas and improvements if necessary •Evaluate potential problems and technical issues and help to develop solutions •Assist in management of team goals, project schedules and new information. •Coordinate current projects to help keep workflow on track. •Manage project-related paperwork by ensuring all necessary materials are current, properly tracked, filed and stored. •Assist with grant projects by reviewing proposals, preparing task oriented grant documents, memos, taking meeting minutes and tracking email traffic. •Communicate with Program Manager to identify project requirements, scope and objectives. •Monitor daily progress of projects, keep program manager up to date on upcoming deadlines. •Serve as first point of contact for meeting scheduling •Compile information for routine reporting.Essential
3-15Planning/Outreach: •Serve as coordinator for project outreach efforts. •Coordinate groups of project supporters, including meeting scheduling and follow up •Evaluate objectives and adapt plans to achieve long-term goals.Essential
4-15Marketing/PR/Communications: •Assist with marketing, communications and public relations efforts. •Assist with social media and website maintenance, in coordination with Communications Manager •Monitor marketing plan and goals in conjunction with Managers, to ensure project stays on trackEssential

Responsible for assisting Project Manager with fundraising, grant writing, marketing, communications, planning, logistics, meeting coordination/scheduling, travel and other administrative tasks as assigned.

Typical Experience:
Three years progressively responsible office/administrative experience.
Required Education or Training:

High school graduation and three years progressively responsible office/administrative experience or an equivalent combination of training and experience.
Ability to learn and stay abreast of software, databases and information systems.

Salary Information:

This is a full-time, 11-month, non-exempt, term staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 77, based on education and experience.
