Position Summary:
Are you looking for a temporary position and have clerical or administrative experience? The School of Arts & Sciences at the University of Alaska Southeast is looking for office support staff to provide general administrative support needed for our faculty and staff. Specific duties vary depending on the program or unit assigned. This is a pooled job requisition for use by the School of Arts & Sciences.
Duties:
100Provide administrative support within the School of Arts & Sciences.
Assist with special projects, queries and events as requested.
Position requires a high level of independence, critical problem-solving sills, and the ability to juggle priorities in tight timelines.
Coordinate and purchase individual and group travel for the School of Arts & Sciences research and academic faculty, staff, and students in accordance with travel regulations with using Concur. Travel purchasing includes airline tickets, ferry tickets, and other travel-related expenses such as risk management fees. Travel coordination can be complex given the remoteness of Alaskan destinations and high-risk and/or time sensitive field work activities. Some international travel will need to be booked that requires additional approvals and strict policies for both academic and research.
Project travel expenditures and process Travel Authorizations, Travel Expense Reports, and affiliated paperwork. Track, monitor, and reconcile all travel expenditures, including Travel Card purchases.Essential
Knowledge, Skills, Abilities: |
- Knowledge of general administrative processes and procedures. Computer and software application skills necessary. Ability to communicate effectively orally and in writing.
- Ability to prioritize projects and work flow and make decisions using independent judgment.
- Strong written and verbal communication skills.
- Effective customer service, interpersonal, and collaborative skills.
- Knowledge of business accounting techniques and practices.
- Ability to write and present facts or briefings in an organized manner.
- Ability to interpret and apply precisely: policies, rules and regulations related to purchasing and travel.
- Ability to support grant application and management with diverse faculty and agencies.

Typical Experience: |
One (1) year administrative experience.
|
Required Education or Training: |
A High School diploma and three years progressively responsible office/administrative experience, or an equivalent combination of training and experience.
Previous higher education experience using tools such as Banner, Concur, Google, and Microsoft Office Suite is preferred, but not required.

Salary Information |
This is a part-time, temporary staff position. New hires will be placed on the UA staff salary schedule, Grade 76, based on education and experience.
