Position Summary:

The UAS Budget, Grants and Contracts Office is seeking a detail oriented self-starter to provide both fiscal and administrative support. This positions main function will be to perform data entry into the university's finance system and electronic filing for all UAS campuses. The successful candidate will have strong computer skills, experience with data entry using an electronic accounting software program and spreadsheets. We are looking for someone with a positive, professional attitude who is interested in developing new knowledge and skills.


1-35Data Entry: Provide accurate and timely data entry for journal vouchers, labor redistributions and budget revisions for unrestricted funds. Provide backup data entry for new grant setups and grant budget revisions. Filing: Maintain files for journals, budget revisions and labor redistributions, as well as, scan and index documents into Onbase. Items for Onbase; journal vouchers, budget revisions and effort certifications. Ensure entered labor redistribution forms are saved to the HR Google sharedrive. Create files for new grants. File all signature cards and certification into grant files.Essential
2-15Grant Payment Application: Create and submit payment application form to cashier. Make sure necessary funds are open to accept the payment and verify that the payments have been applied correctly. Once payment is received and processed, file bills into the grant file.Essential
3-10Create and route for approval journal vouchers, labor redistributions and budget revisions for unrestricted funds. Assist with routine grant journal vouchers, labor redistributions and budget revisions as needed.Essential
4-10Create FRAPROP form for Director's review and approval. Provide date entry of proposal information into Banner. Maintain submitted proposals by reviewing electronic files once per fiscal year. Updating the proposal status in Banner as necessary. Maintain proposal tracking sheet.Essential
5-10Routine financial monitoring: On a regular basis, no less than quarterly, run queries to monitor account code compliance with assigned program codes, check for program code and fund code errors. Initiate correcting documents (journal voucher, labor reallocation). All fund types.Essential
6-10Assist with special projects as assigned. Projects could include; management reports, assisting with budget build process (data entry), management of org and funds. Task may require the use of data query tools and/or Banner reports, as well as a working knowledge of Exel.Essential
7-5RSA Management: Receive and route for signature State of Alaska RSAs. Assign ADN number and insure Requesting or Servicing Agency Authorization information is complete. Update and maintain RSA log.Essential
8-5Alternate member in charge for UAS region gaming activities. Coordinate permit usage and assist the member in charge with auditing paperwork at the end of each gaming activity for compliance with State and University policy and procedures. Create gaming fund and setup budget.Essential

The University of Alaska Southeast (UAS) is seeking to fill a Fiscal Technician position within the Budget, Grants and Contracts office. The Budget, Grants and Contracts office is a small team that provides regional oversight and administrative responsibility for the university's operating budget and sponsored projects.   The main job duty of this position is data entry for journal vouchers, labor redistributions, budget revisions and proposals.  Other responsibilities include; maintaining files, grant payment application, routine financial monitoring, RSA management, assisting with creating documents for entry and assisting the Director with special projects.  Since this is a small team there will be opportunities to learn new skills.

Knowledge, Skills, Abilities:

  • Knowledge of automated accounting systems, databases and spreadsheets.
  • Intermediate computer and spreadsheet skills.
  • Must be able to perform data entry with a high degree of accuracy.
  • Possesses time management, research and problem solving skills.
  • Knowledge of and the ability to understand fiscal policies, rules and regulations.
  • Ability to maintain files, accounts and data.
  • Ability to build and maintain positive relationships with UAS campus community.
Typical Experience:
One year of experience in an entry-level fiscal position or related field.
Required Education or Training:

College coursework in accounting or related field and one year entry level accounting experience or equivalent combination of training and experience.

This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package.
