Duties:

1•Perform other related duties incidental to the work described.Essential
30•Coordinate Shared Services Fiscal & General HR Activities: Request creation of cost transfers such as journal vouchers and labor redistributions. Provide guidance for the fiscal processes generated from the procurement of commodities and contractual services. Request the generation of travel authorization and expense reports in Concur. Provide guidance on human resources related processes/activities.Essential
4•Professional Development: Maintain a professional level of grant and contract management expertise including current knowledge of federal, state and local governmental agency requirements related to award administration. Engage in appropriate professional development & training activities as provided & recommended by UAA.Essential
5•Inventory Control: Manage inventory in compliance with university and granting agency policies, procedures and regulations.Essential
60•Grant Administration: Serve as point of contact for UAA Shared Services for grants, contracts, work order, and cooperative agreements. Review and provide interpretation of grant and contract requirements to ensure compliance with university and granting agency policies and procedures including interpretation of a wide diversity of rules and regulations pertaining to grants (e.g. Federal, State and University policies and regulations, Generally Accepted Accounting Principles (GAAP), Federal Acquisition Regulations (FAR), National Automated Clearing House Association (NACHA), Uniform Commercial Code (UCC), the Internal Revenue Code and other contractual agreements.) Manage fiscal components of work orders for service center activities. Manage grant-related activity from development to final reporting requirements. Prepare monthly budget analysis, forecast and projections for principal investigators. This includes analysis of soft ledgers and Banner-generated reports, preparation of financial reports and projections. Work with UAA Office of Sponsored Programs in the submission of grant effort certifications.Essential

As part of our Research Administrator Team:

  • You’ll help University principal investigators to identify grant opportunities, prepare project proposals and budgets, determine staff and expense eligibility, ensure compliance with terms and regulations, and ensure proper project invoicing and account reconciliation.
  • Every day we’ll rely on you to advise principal investigators on the best practices established by the university’s Office of Sponsored Programs and to answer questions about policies and procedures.
  • To thrive in our team environment, you should be customer service oriented, have strong interpersonal communication skills, with a willingness to maintain a professional level of grant and contract management expertise. You’ll use your experience and expertise to assist our customers with their research administration needs.
  • You’ll prepare monthly budget analysis, forecasts and projections for principal investigators. Your ability to analyze accounts, interpret budgets and identify the significance of financial data will assist our customers in making sound fiscal decisions.

UAA Shared Services is a newly formed unit at the University of Alaska Anchorage. We deliver efficient, effective, and customer-friendly administrative services in the areas of Human Resources, Research Administration, and Business Services to support the university’s teaching, research, and public service missions. ​​​​​​ Our customers are the University’s colleges, departments and administrative units.

Salary Information:

This is a full-time, Grade 79, minimum $26.08 hourly, DOE, 12-month position complete with a competitive salary and UA employee benefits package.

KNOWLEDGE/SKILLS/ABILITIES:

  • Knowledge of spreadsheet and database development, and query development specific to financial or budget analysis.
  • Knowledge of accounting theory and generally accepted accounting principles (GAAP).
  • Knowledge of rules and regulations associated with capital and operating budgets.
  • Knowledge of fiscal related rules and regulations, and the ability to interpret and apply those rules and regulations.
  • Ability to analyze and implement improvements.
  • Ability to lead administrative staff activities.
  • Knowledge of or experience with Banner. (preferred)
  • Knowledge of UAA employment, benefit, procurement and travel regulations. (preferred)
  • General human resources knowledge, particularly with recruitment and hiring. (preferred) 
  • Grant and contract administration experience. (preferred)

TYPICAL EXPERIENCE:

  • Bachelor's degree in accounting, statistics or related field and two years of professional fiscal experience, or an equivalent combination of training and experience. 
  • Grant and Contract administration experience strongly preferred.
