The Office of the Registrar is seeking a full-time Graduation Coordinator. The coordinator is responsible for the verification of degree completion for students, updating and maintaining information in relational databases, as well as using impeccable customer service to assist faculty, staff and students with interpreting degree requirements. The successful candidate will have strong communication skills, the ability to handle multiple priorities in a fast-paced environment, and the ability to develop and implement process improvements. This position is a full-time, 40 hours per week, hourly position at Grade 77, $21.81 hourly equivalent DOE complete with a competitive salary and UA employee benefits package. 20 20% Participate in daily operations of the Graduation Department, including the formulation of graduation semester calendars, developing timelines for and supervising the completion of various projects such as bulk mailings and diploma production. Oversee and set day-to-day guidance, training and direction for staff (students and colleagues). Facilitate and maintain an inventory of diploma stock, covers and honor cords. Correspond with students and faculty regarding degree requirements advice and degree requirements reports. Distribute information and perform other basic office procedures as necessary. Assist in the recruitment, hiring and training of co-workers and student assistants. Participate in the phone queue for the Office of the Registrar. Work general help kiosk when necessary. Essential
25 25% Maintain and update relational databases (Banner student academic records and OnBase). Utilize Banner and OnBase and facilitate proprietary software systems (third party diploma services, etc) to prepare reports, perform degree audits, and produce diplomas for UAF graduates. Accurately maintain database information and compile graduation reports. Maintain academic data using Banner student system, OnBase and the DegreeWorks to identify student majors and degree candidates. Provide lead responsibilities to ensure accurate degree information is entered into all three databases: standard and interdisciplinary degrees, thesis/dissertation titles, change of majors, declaration or minors, individual interdisciplinary programs, and student petitions and corresponding memorandums. Compile Banner population selection reports and compile TOAD commencement reports for departments and graduate school for degree candidates. Test and facilitate use of DegreeWorks and continue implementation of automated degree audits. Essential
25 25% Prepare, interpret and verify degree certifications and requirement audits for undergraduate and graduate-level students and advisors (at Fairbanks and 6 other campuses). Ensure degree requirements are met. Coordinate with Graduate School staff to maintain the accuracy of the Advancement to Candidacy and other forms pertaining to the graduate student, which are necessary for their graduation. Review and approve exceptions to certification or requirements for graduation three times annually. Comply with and adhere to Family Educational Rights and Privacy Act when dealing with the public and university community. Review petitions for exceptions from student's degree requirements - determine approval, denial or further review. Review, approve and process change of majors for students changing or adding degree programs. Specialize in identifying graduation honor candidates and calculating honors GPA. Assists in planning and provides active participation in the annual commencement ceremony. Essential
30 30% Inform, interpret and consult with academic administrators, faculty, staff and students concerning specific degree requirements. Assist with testing and implementation of academic degree policies, practices and requirements through DegreeWorks. Provide an interpretation of academic regulations and academic requirements for students as they relate to course requirements. Serve as an expert specialist for all graduation inquiries for all Fairbanks campuses, over 1,000 students annually and for DegreeWorks degree audits. Knowledge of complex interactive database system (preferably student system); Ability to calculate GPAs; Ability to identify and recommend improved processes for efficiency; Ability to interpret and apply UAF policies.
Previous or current experience working in higher education or college experience as a student in higher education. The length of time depends on individual assessment of current knowledge and experience, ability to recognize and provide excellent customer service.
REQUIRED EDUCATION OR TRAINING:
Associate’s degree with two years relevant experience, or an equivalent combination of training and experience. Bachelor’s degree preferred.
