Position Summary:

Facilities Services is seeking an individual who is highly motivated and willing to take on a very fast paced department. The successful candidate must have great customer service skills, the ability to multitask and willingness to learn. Previous experience with payroll, recruitment and automated systems is a plus.

Duties:

10STATE LICENSES: Monitor certificate of fitness submittals to the State of AK for plumbing, electrical, asbestos, HazCom, etc. Assist with process for random drug testing of all CDL-holders. File documents for physicals, safety training, and licenses in each staff's personnel file. WORKERS COMPENSATION: Coordinate Workers' Compensation. Ensure proper report completion and notification of all affected parties as well as Statewide Risk Management. Track days off due to injury in order to set up special coding for employee timekeeping. Notify UA Human Resources with all time loss claims to ensure employee is placed on Family Medical Leave. SUPERVISORY: Hire, train, maintain schedule, coordinate and review work assigned for one Human Resources Admin Assistant, one Student Assistant office assistant. Initiates corrective action, and evaluates performance.Essential
20PAYROLL: Manage time sheets and verify payroll on a bi-weekly basis for up to 250 employees. Responsible for ensuring time sheets are complete and submitted in a timely manner. Maintain electronic payroll spreadsheets, verify payment accuracy in Banner, review payroll earn codes, calculate leave and retroactive payments, determine payroll issues, and work with UA HR payroll to prepare adjustments, submit direct deposit requests, process late time sheets, or correct any payroll related discrepancies. Research and answer questions for hiring managers and supervisors. Act as liaison between employee and UA HR and disseminate information as necessary.Essential
30PERSONNEL: Coordinate Personnel and Payroll for all divisions within Facilities Services. Responsible for providing accurate, time-critical information and documentation for all divisions. Provide assistance to all personnel-related documents for Facilities Services employees. Coordinate and expedite appropriate forms and information required. Monitor employee status and personnel actions such as payroll-related, terminations, step increases, probationary periods, promotions, non-retention, benefit-related, workers' compensation, family medical leave and other changes. Completes and signs all job forms. Ensures proper completion of new-hire paperwork. Answers employee questions and works with employee supervisors regarding the resolution of personnel and payroll issues. Maintain database of automated employee information to insure systems integrity. Responsible for maintenance and security of all Facilities Services employee personnel files. Records employee information such as personal data, performance reviews or evaluations and termination date and reason. Handles all confidential materials.Essential
40RECRUITMENTS: Coordinate internal/external recruitments and selection procedures for Facilities Services. Write, post and monitor all classes of recruitments in MyUA (hiring system) including staff, Crafts & Trades, and temporary. Schedule overall orientation with Human Resources for new hires, conduct, update, and maintain materials including booklets and powerpoint presentation for F.S. internal new hire orientation. Participate regularly in various in-house hiring panels to ensure compliance with F.S. and University policies, procedures and practices. Process hiring proposals from inception through salary approval to acceptance. Prepare and complete appointment letters.Essential

Facilities Services at UAF promotes academic excellence in education and research as we build, maintain, and enhance UAF's infrastructure.  This position specifically provides HR support for Facilities Services in coordination with the unit's administration and/or UA Human Resources.

REQUIRED EXPERIENCE:

One year experience at lower human resources technician level.

TYPICAL EDUCATION OR TRAINING:

College coursework in human resources, accounting, or equivalent.

Current valid Driver's License- travel to sites other than F.S. for the purpose of attending meetings and training.

This is a full-time, Grade 77, minimum $21.59 hourly, DOE, 12-month position complete with a competitive salary and UA employee benefits package.
