The Financial Aid Advisor is responsible for a wide range of duties in support of UAA students and their financial aid needs. Financial Aid Advisors work directly with students and families to assist them through the financial aid application and awarding process. Major responsibilities include processing federal, state, and institutional awards, adjusting cost of attendance (COA), and the preparation and dissemination of financial aid information. This position involves a great deal of attention-to-detail and ability to interpret and apply federal, state, and institutional policies.
10GENERAL OFFICE SUPPORT:
Regularly maintain and update the financial aid website; assist in the development and revision of forms; assist with staff
projects, research problems, prepare reports or data, and test packaging and verification programs and processes as
needed; perform other duties as assigned.Essential
Advise students and families regarding financial aid programs offered by federal, state and local agencies as well as
institutional aid and alternative funding options; use tact, diplomacy and investigatory interviewing techniques in
conversations with students and parents to elicit relevant information and/or questions; demonstrate an understanding of
special needs and problems experienced by students and answer questions in a sensitive and helpful manner; Provide
guidance on electronic submission of documentation for federal verifications, professional judgements, budget adjustments,
and other required processes. Conduct regular outreach to all dependent students that submit their FAFSA without parental
information.provide debt management counseling to student loan borrowers; check emails daily; answer general questions;
distribute specific concerns to appropriate staff when necessary. Be logged into the office phone queue to assist with
answering general questions on the call center. Assist with front counter coverage as needed as well as assisting students
who come in the lobbyEssential
Collaborate in the coordination and facilitation of workshops and other success skills training for students. Support the
recruitment, orientation and retention of students by working closely with Admissions, New Student Orientation, and other
student success offices by providing support at events such as UAA’s Scholars Night, Preview Days, Seawolf Ready in area
high schools, Howl Days and Kids2College. Work with other groups such as ACPE, middle college programs and local high
schools to promote and support FAFSA completion events, SAP awareness promotional events, both in person and virtually.Essential
40FINANCIAL AID PROCESSING:
Perform Return to Title IV (R2T4) calculations in compliance with federal and institutional policies and timeframes. Assist the
Assistant Directors with yearly setup and the timely certification, processing, and payment of Alaska State grants and
scholarships. Process incoming financial aid data and subsequent paperwork according to office policies and procedures to
ensure compliance with federal, state and institutional policies. Have comprehensive knowledge of student cost of
attendance, need analysis, federal aid calculation, and resource allocation. Work in tandem with other team members to
ensure accurate and timely process flow and continuity. Be proficient and work on multiple electronic platforms such as
NSLDS, COD, CPS, EdConnect, ASAP portal, Dynamic forms and OnBase to ensure eligibility and compliance with varied
federal, state, institutional and private resources. Will be assigned to various processing tasks including, but not limited to:
Coordination and monitoring athletic awards per NCAA guidelines, management of the Federal Work-study program,
completion of federal in and house verifications, calculation of satisfactory academic progress and evaluation of appeals,
determining eligibility and processing requests for federal, state, and private loans. Review and adjust Title IV eligibility
based on professional judgment and individual student circumstances guided by interpretation of federal rules and
|Knowledge, Skills, Abilities:
- Expert functional understanding of financial aid management systems and on-line student academic records systems (preferably Banner); Knowledge of University systems to be able to refer students to appropriate area for assistance.
- Knowledge of best practices, federal and state laws and legal issues associated with and applicable to financial aid and higher education.
- Knowledge of marketing/advertising principles.
- Advanced public speaking skills.
- Ability to troubleshoot situations to determine the best course of action.
- Ability to work as an influential part of a team.
- Ability to apply theories gained through experience and education.
- Understand and comply with safeguarding procedures for confidential records per FERPA (Family Education Rights and Privacy Act).
- Strong organizational skills with the ability to carry out multiple tasks in a timely manner.
- Ability to work effectively in a fast-paced environment.
- Annual participation in Department of Education, NASFAA, regional and/or state offered financial aid training sessions.
- Understanding and adherence to the Federal Right to Privacy Act of 1974 as amended.
- The successful candidate must not be in default on any federal student loan.
Two or more years of professional experience performing work that requires the consistent application of highly complex regulations; Experience using technology to streamline processes; Data entry and retrieval in multiple types of computer programs; Excellent organizational, interpersonal, communication and conflict-resolution skills; good judgment, discretion and ability to maintain confidentiality; ability to interact with diverse constituencies; ability to manage multiple tasks simultaneously; ability to work both on a team and independently; project management skills; strong computer skills.
|Required Education or Training:
An Associate's degree in a related field and two years relevant experience, or an equivalent combination of training and experience. Knowledge of federal financial aid rules and regulations. Experience working in a customer service field, preferably with finances above and beyond typical retail sales.
This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 78, based on education and experience.
