Position Summary:

The Geophysical Institute (GI) is seeking a knowledgeable Fiscal Professional to join our team. In this position, you will work closely with the GI Fiscal Managers, Research Faculty, staff, and students not only within the GI, but also with collaborating institutes. Come join the GI’s Business Office in supporting GI scientists and researchers who are contributing to research in aurora forecast, earthquake science, volcanic activity, satellite data, and so much more!

Duties:

10Recharge Centers: Manage financial activity of assigned recharge and/or enterprise center(s). Prepare yearly recharge and/or enterprise center rate proposals (annual budget development), business plans, worksheet analyses, and reports. Work with the center's supervisor to ensure expenditures do not exceed revenue. Monitor, analyze, and interpret center activities and make recommendations; project accurate hourly rates, revenue, and expenditures to maximize revenue return. Oversee and resolve issues regarding approval of submitted rate proposals and budgets.Essential
20Grant and Contract Closeout: Maintain and monitor closeout spreadsheet, work with other fiscal managers to monitor awards at closeout to ensure everything is closed out in a timely and accurate manner. Ensure all final reports (property, PI narrative reports, subaward final documents, etc are completed and submitted) work with OGCA and Procurement departments to ensure timely and accurate submission. Ensure match obligations have been fulfilled and ensure match certification has been prepared. Work with Geophysical Institute (GI) Business Office and OGCA on close-out issues including F&A recalculations, overrun write-offs. Close projects including analyses of project expenditures for PI review, work with funding agencies to facilitate corrections and interface with UA staff members on budget and expenditure matters. Maintain confidentiality of information and records that pertain to this position.Essential
20Pre-Award: Work with the PI and the Office of Proposal Development (OPD) with accurate proposal budget preparation and review that meets UAF's OGCA Pre-Award office Policy and Procedures. Prioritize proposal submissions in order to meet multiple deadlines. Obtain approvals from the PIs and GI management as required, and other institutes or University departments as required by UAF and the funding agencies. Monitor proposal submissions to ascertain which proposals are funded. Proactively provide feedback to GI Researchers and Executive Officers. Meet and maintain contact with PIs and other University personnel as needed.Essential
50Post-Award Management: Responsible for fiscal management activities of new grants, contracts, and gifts as assigned including account set up, preparation of required Office of Grant and Contracts (OGCA) entries and checklist, financial management by preparing research program budgets and projections. Administer approved budgets. This will include: Analyze expenditures to ensure compliance with a variety of grants and funding parameters, including monitoring of expenditures to ensure that budget limits are met. Provide oversight and guidance for correcting inaccuracies in the fiscal accounting processes at the departmental level when research program funds are used to include preparation of correcting Journal Vouchers (JV), Budget Revisions (BR), and Labor Redistributions (LR). Work with Principal Investigators (PI) as needed. Build and maintain positive working relationships with co-workers, other employees, funding source staff, internal and external committees, and the public using principles of good customer service and excellent communications skills.Essential

Additional Position Information:

As an integral part of the Business Office, you will monitor/administer assigned restricted fund activity (pre and post-award), create, manage, and perform accounting, budgetary, and fiscal functions; and follow established policies and procedures within the UA, GI, and IARC (International Arctic Research Center).

This position will be required to work part-time from the office and part-time from home. A remote work agreement will be required.

Knowledge, Skills, Abilities:
  • Knowledge of standard office software applications.
  • Knowledge of spreadsheet and database development, and query development specific to financial or budget analysis.
  • Knowledge of accounting theory and generally accepted accounting principles (GAAP).
  • Knowledge of rules and regulations associated with capital and operating budgets.
  • Advanced communication skills.
  • Ability to work with a team and build working relationships.
  • Ability to prioritize proposal submissions in order to meet multiple deadlines.

Typical Experience:

  • 1 year of experience with award set up and post-award related functions.
  • 1 year experience in transaction monitoring and error resolution.
  • Demonstrated experience working with federal/state/private grants/contracts.
  • Experience working with Banner Finance/Research, preferred.
Required Education or Training:

Bachelor's degree in accounting, business administration or related field, or equivalent combination of training and experience is necessary to comprehend the complexities & problems of an active University research institute.

Minimum 1 year professional fiscal experience, or an equivalent combination of training and experience.

Proficiency with financial operations, automated accounting system(s), word processing, creation and manipulation of spreadsheets, querying of database information, and financial reconciliations required.

Salary Information:

This position is full-time, Grade 78, continuing, non-exempt, 12-month position complete with a competitive salary and UA employee benefits package. New hires will be placed on the UA staff salary schedule, based on education and experience.
