The University of Alaska Anchorage (UAA) invites applications for the position of Admissions CRM Specialist within the Office of Admissions. The Office of Admissions is a forward-looking group working to find and produce innovative ways to improve the prospective student experience starting their UAA journey. The Office of Admissions maintains several software applications that provide our admissions application portal, communication and marketing to prospective students and our student information system. Applicants should appreciate the evolving needs to communicate effectively and be ready to operate in a fast-paced, technology-rich environment aimed at generating efficiencies. We are looking for a highly motivated, team-oriented individual with stellar organizational skills and attention to detail who is current (within the last 3-5 years) in multiple software applications (particularly CRM) and database management. Applicants are expected to address in their cover letter their current (last 3-5 years) experience and skill sets related to the use of technology and its relevance to this position.
15 Application processing and operational support:
Process and update matching and suspect application accounts. Validate new accounts to minimize duplicate accounts and incorrectly matched accounts. Generate admission letters & certificates weekly. Run batch processes and batch updates for mass edit to admission records.
During peak times, each semester, process applications for admission for undergraduate, graduate, and international students using professional judgment to determine the eligibility for admission for each applicant. Determine residency status for tuition purposes. Maintain confidentiality of all student records according to federal law and university policy.
Work in Banner Student database, OnBase imaging and Salesforce CRM to communicate with students and provide notifications for admission status and needed documentation.
Prepare accurate and timely communications with students, faculty, and program staff to address infrequent admission circumstances. Essential
30 Develop and maintain admission processes in Salesforce for incoming documents:
Review and assess workflows and software automations built around submitted academic credentials, test scores, and other required documents for admissions, according to university policy and procedures. Research and analyze solutions from Salesforce, including completing necessary vendor trainings and developing and suggesting updates and solutions to operational issues.
Develop, create and modify operational, analytic, and error reports as needed to improve service to all users (students, staff, programs). Review and recommend new application and plug-in solutions as appropriate to improve services.
Test and validate software upgrades and automation changes to admissions databases, including Salesforce, Banner, OnBase and Enrollment Rx.
Serve as point of contact and coordinate with community campus admission offices, graduate program coordinators and other user groups. Serve as primary trainer for community campus admission employees on general application processing. Document admission processing differences at community campuses (ex. Application deadlines).
Work with admissions leadership team and CRM administrator to prioritize projects, meeting deadlines for solutions, testing and implementation. Essential
5 Office of Admissions support:
Assist with special projects within admissions operations. Actively participate in staffing on campus admission events led by UAA admissions (Examples include: Academic Preview Day, UAA Junior Day).
Provide customer service by phone and in person in the Enrollment Services lobby as well as responding to email inquiries. Actively listening to questions is imperative to understanding and assisting students through the admissions process. Essential
50 Maintain daily admissions operational and CRM functionalities:
Build, test and maintain admissions application, admission documentation, and operational reports (TOAD and Salesforce). Create and maintain process and procedure documentation for admissions.
Under direction of the admissions leadership team, maintain application objects and fields to meet program needs. Create and modify screens in CRM to improve business processes and workflows.
Maintain admission related work queues, views, user layouts and access, meeting the needs of undergraduate, graduate and international student application processes.
Maintain, recommend, and implement changes to automated (triggered) communication to improve admission file completion and student onboarding processes. Maintain, recommend, and implement changes to integration logic and functionality between Salesforce, Banner and OnBase.
Load prospective student lists into CRM, as needed. Essential
Demonstrate the use of active listening and analytical skills.
Ability to work independently with little supervision and produce results. Time management skills necessary to organize a high volume, detail-oriented workload under the pressure of deadlines. Strong oral and written communication skills. Experience with programming language(s), database architecture, workflow and automation fundamentals. Have a thorough understanding of FERPA and confidentiality policies. Experience with end-user customer/consumer database management system.
Three years of professional experience with a CRM solution, with at least one year of solution development.
REQUIRED EDUCATION OR TRAINING:
Bachelor degree required. All degrees must be from a regionally accredited institution.
