Position Summary:

UAA Shared Services is seeking a full time Human Resources Coordinator to be part of the College of Arts and Sciences and College of Engineering Team. We invite applicants who have a strong knowledge of human resources practices to apply for this newly formed team. The successful candidate should be customer service oriented, have strong communication skills, high attention to detail and organization with a willingness to learn. Responsibilities range from processing routine but detailed paperwork to brain storming with the team on how to tackle a new project.

Duties:

20Oversee electronic timesheet processing for divisional employees: set up timesheet approver/supervisor in Banner, provide time entry training, guidance and reminders, process late and revised timesheets, and serve as FYI. Work with college administration to write position descriptions for new positions, revise existing position descriptions. Chair and/or serve on staff search committees, develop screening documents and job postings. Provide guidance to supervisors regarding the performance review process.Essential
35Serve as the point of contact between the CAS Dean's Office and divisional departments, Human Resource Services, and the Office of Academic Affairs, regarding compensation and personnel issues involving faculty and staff. Answer questions about HR processes. Draft requests from the dean and associate dean for provost to obtain approvals for recruitment, faculty hires, retention offers and other actions involving faculty. Process term faculty renewals and non renewals through HR and OAA per HR, BOR and CBAs. Complete job forms or EPAFs for faculty on/off contracts, promotions, sabbaticals, LWOP, FML, terminations and other compensation and personnel actions per HR, BOR, and CBAs. Issue appointment letters and insure compliance with two separate collective bargaining agreements (CBAs). Attend chairs and directors council meetings and divisional staff meetings. Attend regular HR trainings and information sessions to stay current.Essential
45As Human Resource Coordinator for assigned TKLs, oversee all Human Resources related actions such as recruitment, hire, and ongoing employment related actions and processes for all employment classes -Act as point of contact between search committees, divisional Associate Deans, the CAS Dean, Human Resources and Academic Affairs regarding proper recruitment procedures and approvals. Create and maintain position descriptions and recruitments and serve as point of contact for coordinating approvals through the dean, HR and OAA. Assist search committees with the recruitment process. Request market salary information for faculty hires and complete experience profiles for salary negotiation purposes. -Insure timely completion of human resource hire paperwork for all employee classes. Support H1B visa process in coordination with HR. Set up Glacier accounts for international hires to gather foreign national tax information. Assist with obtaining approvals for employees working outside Alaska.-Onboard new faculty by connecting them to CAFÉ and HR Benefits NEO. Process relocation allowance requests and check pickup. Answer new employee questions about parking permits, Wolfcard, and other services.Essential

UAA Shared Services is the primary source for trusted, high-quality, and customer-friendly administrative services. Shared Services delivers a variety of administrative services to support the university’s teaching, research, and public service missions. This position specializes in Human Resources administrative activities in the College of Arts and Sciences and College of Engineering Team. 

This position is physically located at the UAA campus in Anchorage, Alaska. While there may be a current opportunity for temporary remote work due to COVID, applicants should be prepared to work fully on campus, remotely or possibly a hybrid of both depending on the needs and operations of the university. 

This is a full-time, benefited position complete with a UA employee benefits package.  Grade 77 / Step 1 non-exempt position, $21.81/hour DOE.

KNOWLEDGE/SKILLS/ABILITIES:

Knowledge of methods of organization, research, and analysis. Ability to comprehend written material and analyze, interpret, and apply complex policies, rules, and regulations relating to human resources functions in Shared Services. Ability to exercise good judgment in analyzing complex situations, propose viable solutions to problems, and make responsible decisions. Ability to implement policy changes and communicate processes to client group. Knowledge of human resources best practices.

Ability to communicate effectively, both verbally and in writing, and to organize and present facts and opinions with a focus on customer service. Ability to establish and maintain effective working relationships with individuals and groups and to work collaboratively as a member of a team or as a team lead. Ability to adapt to a changing work environment. Attention to detail and accuracy is a must.

Skilled in word processing, mail merge, and spreadsheet use. Ability to learn a variety of electronic forms, applications and software suites (Microsoft Teams and Google Suite applications) for paperless processing and remote work.

TYPICAL EXPERIENCE:

Bachelor's degree and four years progressively responsible experience related to the job duties, particularly related to Human Resources functions or an equivalent combination of training and experience.
