The Geophysical Institute is looking for an experienced and dynamic person to join our team of HR Coordinators to provide superior, timely, and accurate customer service to a diverse group of world-class researchers across multiple units. The HR Coordinator works closely with the HR Manager and the HR team to provide a variety of duties including personnel and payroll processing, recruiting, compliance with university and federal regulations, and much more. This is a full-time position that will be located in the Elvey building on the University of Alaska Fairbanks campus and is not a telecommuting position.
20 DATABASE, ELECTRONIC RECORDS, and FILE MANAGEMENT:
Create and maintain electronic document management procedures to ensure management of timelines, deadlines, unusual events and workflow, so services are efficiently processed.
Ensure HR-related data is easily identified, communicated, and accessible to GI administrators, personnel and others for reporting and decision making purposes.
Coordinate with information technology personnel to ensure HR services information is updated and coordinated with ongoing IT functions. Essential
Participate in all departmental recruitment processes and documentation for 750+ employees.
Train unit personnel in recruitment processes, procedures, and policy requirements.
Advise hiring authorities on recruitment activities to include assuring legal hiring and selection practices are adhered to.
Facilitate communication with the Office of International Programs and Initiatives in hiring situations/visiting scholars that require visas.
May train unit personnel on recruitment processes, policies, and procedures.

45 HUMAN RESOURCES COORDINATION:
Provide expertise related to departmental HR processes, needs, and policies. Identify, implement process and procedural constructs for the Geophysical Institute (GI) and other units in the shared HR matrix. Serve as a liaison between 1) senior management and faculty, staff and students and 2) between the GI and other units in the shared HR matrix. Communicate efficiently and effectively with a diverse population of faculty, staff, and students. Reports to the GI-HR Manager for day-to-day direction and project assignments. and for direction on complex personnel issues.
Proactively assess and audit GI HR processes and issues. Provide advice and guidance to supervisors and employees on matters of conflict. Provide training and general training on functions of personnel and payroll at a basic level.
Serve on campus committees, workgroups, and teams as a representative of the GI and other units in the shared HR matrix when necessary.
PERSONNEL and PAYROLL SERVICES:
Provide departmental personnel and payroll services. Audit, initiate process hiring documents, termination and changes in employee status. Initiate paperwork and track employee contract letters, worker compensation claims, terminations, LWOP requests, FML requests and leave share. Coordinate between UA HR office personnel and unit personnel all new hire orientation sessions and exit interviews for unit personnel. Monitor payroll for accuracy and compliance. Coordinate with unit fiscal personnel and grant managers to manage time and effort reporting and labor distribution. Use query features of the BANNER system for verification and audits of various HR-related data and information. May assist with immigration/visa processing within the GI.
Assess, problem solve, manage, and coordinate payroll issues, including compensation error, bonus pays, and leave issues.
Research, track and update metrics, as required.
Maintain personnel and payroll files. Provide required maintenance and security of employee records.
Follow the leadership of the GI-HR Manager who provides day-to-day guidance, training and direction for all HR services provided by GI HR. Essential

College coursework in accounting or human resources and one year of technical human resources or accounting experience, or an equivalent combination of training and experience.
