Position Summary:

Student Services is a great first stop for prospective students. Student Services offers students help with registration, admissions, financial aid, academic advising, and more! The Student Services Administrative Assistant will be essential in assisting the department with providing these services.

Duties:

10Disability Support: Assist DSS Specialist with distribution of equipment and/or accommodation documents to DSS students. Support with active and archival records for DSS students by creating and purging files.Essential
30Front Desk: First point of contact responsible for greeting students, general public, faculty and staff, determining their needs, and directing them to the appropriate person or resource. Follow strict confidential procedures to protect student records. Be diplomatic in responding to complaints and complex situations. Answer multi-line phone, route calls, take messages, and respond to questions. Provide front line services in financial aid, admission, and registration paperwork. Screen for accuracy and process paperwork by updating the student's file or database and when needed route to the appropriate department or individual. Direct students to online services concerning admission, registration, financial aid, scholarship and funding information. Contact students at the direction of advisors and counselors.Essential
30Office Support: Provide administrative support for counselors and department staff. Merge letters for distribution. Coordinate, prepare materials and publicize campus advising events or other outreach activities. Maintain inventory and order office supplies and workshop materials. Obtain permission of payment from other departments for ordering graduation supplies. Process purchases via university credit card. Oversee service contracts on office equipment.Essential
30Outreach: Provide comprehensive information on the university system including policies, procedures, requirements, services, resources, and referrals. Respond to in-person, email, phone and social media inquiries and provide reliable information to the public and to prospective students about MSC programs, costs, enrollment steps, and benefits of attendance. Communicate effectively and sensitively to a diverse population. Connect with prospective students and their families regarding enrollment processes and academic requirements. Schedule and provide campus tours to individuals and groups. Introduce prospects and applicants to academic programs, student services, and campus resources. Contribute to the development of communication plans and marketing for prospective students. Develop and deliver formal and impromptu presentations to high school students, college students, community groups, and organizations. Prepare appealing table displays and compile promotional materials for events.Essential

Education & Experience:

  1. High school diploma or equivalent. College level coursework or on-the-job training in customer service an/or office procedures.
  2. Associate or higher degree is preferred.

Knowledge/Skills/Abilities:

  • Strong interpersonal, written and verbal communication skills, including active listening.
  • Ability to work well with students of a very diverse community, and provide an effective first contact experience.
  • Able to maintain confidentiality.
  • Ability to manage time and complete multiple projects within deadlines in spite of disruptions.
  • Ability to accurately enter data with attention to detail.
  • Ability to explain complex procedures.
  • Strong interpersonal, organizational, and time management skills.
  • Knowledge of banner and financial aid programs is preferred.
  • Customer service and clerical experience.
  • Experience working as a team member, supporting others and adapting to multiple priorities.
