Position Summary:

The UAF Office of the Registrar is soliciting applications for the Associate Registrar position. Our office serves students, staff, faculty, and alumni at UAF, including all of our community campuses. Besides being the custodian of student records for the university, we also oversee registration, transfer credit, academic scheduling, curriculum, catalog, and graduation. As part of Enrollment Management, we contribute to student persistence and degree completion. We use technological solutions to streamline and automate processes wherever possible, yet maintain a student-focused customer service presence.


10COMMUNICATION: Advises staff, students, and faculty regarding graduation, transfer credit, and curriculum policies. Builds positive working relationships with academic departments, faculty, and administration. Represents the Office of the Registrar in various settings, including Faculty Senate, UAF and Statewide committees and task forces, and on Banner governance teams. Serves as a proxy for the registrar in their absence.Essential
10NCAA COMPLIANCE: Develops expertise in NCAA student athlete eligibility requirements. Reviews and certifies eligibility of student-athletes each semester (including summer). Consult and work with the Compliance Officer in the Department of Athletics and the Athletic Advisor regarding each student-athlete's eligibility.Essential
25POLICY: Works with committees of faculty senate to ensure that UAF academic policies and degree requirements are in agreement with BOR policies, and develops procedures to enforce them. Develop/maintain/update policy information for public consumption on public websites or in the catalog; provide interpretation to be used by graduation and transfer credit staff as well as by academic advisors.Essential
25SUPERVISION: This position will supervise staff in two to three different functional areas. At this time, that will be Transfer Credit (2 positions) and Graduation 2 positions). As the needs of the office change, areas of oversight may shift among the managers; however, the overall team size would be approximately the same. Performs all aspects of supervision including hiring, training, developing, assigning, and overseeing day-to-day work, setting priorities, meeting deadlines, evaluating performance, and, as needed, disciplinary actions. Assists employees in problem-solving complex issues. Signature authority and leadership in the absence of the Registrar.Essential
30PROCESS ANALYSIS AND DESIGN: Analyzes business processes within the Office of the Registrar. Identifies antiquated, redundant, or inefficient processes; consults with staff and stakeholders to determine issues and needs, and implements improvements in workflow. Works to keep processes contemporary, and innovative, and service-oriented. Engages in on-going quality control management.Essential

The Associate Registrar is responsible for supervising teams, designing business processes, working with Faculty Senate on policy development, and representing our unit on committees, task forces, and work teams related to academic and student-service initiatives.  The Associate Registrar provides leadership within the Registrar's Office, as well as more broadly within the university.   The successful candidate will have strong communication and management skills, the ability to handle multiple priorities in a fast-paced environment, and the ability to develop and implement process improvements.  This position reports directly to the Registrar.


-Detail-oriented, technologically and computer literate.
-Ability to use/master multiple software programs focused on higher education processing such as DegreeWorks, OnBase, Banner, Toad.
-Ability to read and interpret policy documents, such as BOR policy & regulation, Faculty Senate actions, and UAF catalog; as well as user guides for systems used in the Office of the Registrar.
-Ability to develop and recommend changes. Ability to determine the appropriateness of exception requests.
-Ability to manage multiple priorities in a fast-paced environment.
-Ability to supervise and manage.


Minimum of 2 years interpreting and applying complex policies and regulations; experience with Windows computer systems and network operations, database software, word processing; experience in working with a diverse population of customers and staff.


Bachelor's Degree required. Minimum 2 years of administrative and/or managerial experience; knowledge of and experience with common/current computer technology and software.
