Position Summary:

This position is responsible for the planning, development, and implementation of an effective comprehensive alumni relations program that includes the engagement, cultivation, solicitation, and stewardship of memberships. The Alumni Relations & Annual Fund Manager plays a key role in UAS' efforts to build relationships with alumni, donors and friends of the university. 20Alumni & Development Office Administration Assist with Development office activities as needed. Provide professional staff support to both the UAS Alumni Association & Student Alumni Board of Directors. Duties include but are not limited to: arranging meetings, preparing board packets, taking minutes, maintaining corporate records, preparing monthly budget reports and reconciling all associated accounts. Oversee the upgrade, design & maintenance of the UASAA website. Maintain the UASAA financial records for timely reconciliation and preparation of the annual corporate tax returns by an independent certified tax accountant.Essential
20Alumni Donor Services/ UA Foundation Maintain and update all UAS Alumni & Friends and new prospect records in the Foundation RE7 database. Enter and track all UASAA membership dues in RE7 following established procedures for non-Foundation batches. Generate computerized membership packets, renewal notices and timely donor/member acknowledgement letters. Manage UASAA activities using the RE7 Special Events and Membership modules. Design reports and extract membership data for departmental analysis and use. Assist the Development Operations Specialist with all UA Foundation deposits and reporting requirements as necessary.Essential
60Alumni Relations/ Programming Develop and execute a comprehensive program of Alumni services designed to provide the highest level of engagement between UAS and its many Alumni & Friends as part of UAS'' overall integrated advancement strategy. Specifically, this position is responsible for the identification, cultivation, and solicitation of alumni with the overarching goal of increasing alumni giving to the institution. Professionally represent the institution in the community and work closely with the board of directors for the UAS Alumni Association (UASAA), a separate external 501(c)(3) non-profit. The Alumni Manager assists the UASAA in its mission to communicate and advocate the goals and programs of UAS, and foster a continuous sense of community by establishing relationships and networking among alumni. This position is directly responsible for: 1) The growth and facilitation of the UAS Alumni Association (UASAA)''s annual membership drive and all UASAA fund-raising activities meeting established goals and objectives. 2) Overseeing the UASAA- Student Alumni Association, providing direction and support with the goal of facilitating student involvement with the UASAA prior to graduation. 3) Expanding and nurturing the alumni network by actively managing Alumni Chapter & Club development. 4) Recruiting, training and coordinating alumni volunteer efforts. 5) The promotion and facilitation of UAS alumni and UASAA member''s involvement in UAS'' overall fund-raising process. 6) Serving as the primary campus resource for all alumni relations related services and inquiries. 7) Effective social media outreach.Essential


A working knowledge of basic fund-raising relations is required. The successful applicant must also posses knowledge of university environment; an or donor/prospect constituencies, of rules of business etiquette, and excellent oral and written communication skills. Also required: a competent knowledge and proficiency of standard office information technology including word processing, graphics, spreadsheets, database management systems and relational databases, etc. Position requires skills of scheduling/calendaring, coordination, meeting & event facilitation, time and project management skills, strong attention to detail, ability to handle multiple projects with conflicting deadlines simultaneously, and budget preparation/ projections/ management. Interpersonal and customer service skills are essential to work effectively with volunteers, staff, administrators, trustees, alumni and business professionals. The following personal skills are also required: time management, tact and diplomacy, planning, creativity and analytical problem solving.

  1. Must possess valid Alaska Driver's License
  2. Must be available to work outside of normal business hours and on weekends.
  3. Must be available to travel for event execution, donor/ alumni visits and job training.
  4. Knowledge/experience with Alaska cultures and economies preferable.  

Required Education & Experience: 

A Bachelor's degree in communications, marketing, public relations, business, public administration or another relevant field and one year of relevant experience or an equivalent combination of training and experience. Relevant experience includes fundraising activities, previous experience working as part of an alumni office, or transferable experience from higher education. 
NOTE: Equivalent experience in project management, public relations and/or marketing may apply.

Preferred knowledge, skills, & abilities:

Personal professional credentials: Certified Fund-Raising Executive (CFRE)
Proficient working knowledge of the following software systems: Blackboard's Raiser's Edge (RE7) or similar fund-raising software/Quicken or Quickbooks/ Banner.  

Frequent contact with alumni, donors, prospects and volunteer requires unusual discretion, tact and diplomacy, and the ability to provide indirect guidance that can influence large sums of money. The final product of each project of this job is a reflection and representation of UAS, holding the person in this position high accountable for UAS' image and reputation in the eyes of the campus community and the public. This person must have a high level of energy, initiative and creativity, a positive attitude and be results-oriented. They must have the ability to work independently and as part of a team with the ability to inspire and motivate others. Flexibility is required to work evenings and weekends.

This is an exempt, full-time, 12-month, staff appointment complete with both a competitive salary and UA employee benefits package. Full university benefits include retirement savings, health insurance, and UA tuition waiver for employee and dependents. This position is Grade 78, minimum $23.60/hr, position with salary dependent on education and experience.
