Position Summary:

UAA invites applications for the position of Degree Completion Specialist within the Office of the Registrar. UAA's Office of the Registrar is a forward-looking group working behind the scenes to find and produce innovative ways to improve the student, faculty and staff experience at UAA. The Office of the Registrar maintains several software applications that assist in production of the university catalog, degree audits, registration, and scheduling. Applicants should appreciate the structure policies and regulation provide and be ready to operate in a fast-paced, technology-rich environment aimed at generating efficiencies. We are looking for a highly motivated, team-oriented individual with stellar organizational skills, attention to detail who is current (within the last 3-5 years) in multiple software applications and database management. Applicants are expected to address in their cover letter their current (last 3-5 years) experience and skill sets related to the use of technology and its relevancy to this position.

Duties:

10Research, evaluate and implement academic degree policies, practices, and requirements through DegreeWorks. Complete in-depth testing of regular system upgrades to Banner, DegreeWorks and other related software. Evaluate petitions for exceptions from students' degree requirements, determine approval, denial, or future review weekly. Review, approve, and process change of majors for students changing or adding degree programs. Process all degree verification requests from the National Student Clearinghouse. Research and analyze problems, issues, and solutions to older student files as they arise. Serve as primary point of contact for commencement for the Registrar's Office.Essential
30Evaluate, research and test available tools in Banner and DegreeWorks to maximize DegreeWorks utilization and improve functionality for UAA staff, faculty and students. Collect and analyze data to justify technical solutions. Work in close coordination with OIT and EAS to research and troubleshoot solutions in DegreeWorks, Banner and related applications. Review Ellucian technical documentation and online resources to find solutions. Work closely with UAA stakeholders on implementing processes to bring about improvements in their areas.Essential
5Develop and deliver trainings and presentations to students, faculty, staff, and advisors on DegreeWorks and processes related to graduation, petitions and change of major forms. Create marketing strategy for DegreeWorks and specifically for information/services provided by this department. Support creation of advertising materials for DegreeWorks and other processes or tools primarily housed within Degree Services. Regularly review and provide feedback on Registrars' Office webpages, especially those related to graduation and degrees. Communicate regularly and effectively with campus community regarding policies, procedures, and changes related to graduation and DegreeWorks. Train and support new Degree Completion Specialist. Update and maintain internal procedures manual and master calendar for the Degree Services area.Essential
5Review curriculum changes submitted by departments to Undergraduate and Graduate Academic Boards prior to final approval and provide recommendations for successful implementation and enforcement of proposed changes. Provide data upon request to Office of Advancement and Chancellor's Office regarding graduation, degree completion, applications for graduation, etc. Coordinate with Graduate School on petitions, forms and requirements specific to graduate student graduation.Essential
50Primary point of contact for Degree Services and DegreeWorks. Requires strong technical skills to program and maintain well over 100 degree and certificate programs for UAA and its extended campuses. Provide advising and interpret academic regulations and academic requirements for students, faculty, staff, and advisors as they pertain to degree requirements. Provide clarification of these requirements and UAA catalog interpretation daily to students, faculty, staff and advisors via phone, email and in person. Collaborate with other academic units and assist students to identify options in resolving academic issues. Serve as expert lead specialist for all graduation inquires. Refer students and staff appropriately for questions regarding admissions, financial aid, registration, requests for exception, and other support services. Guide students in navigating university graduation policies and procedures. Serve as final clearinghouse for degree posting and communicate outcome to students. Determine student's eligibility for honors based on manual calculation of cumulative GPA to include repeated and transfer work, and serve as expert in answering questions from students and staff on why student did not qualify for honors. Provide phone support for Enrollment Services main line and respond to emails sent to departmental account daily.Essential

Applicants should appreciate the structure policies and regulation provide, be able to interpret and implement them, and be ready to operate in a fast-paced, technology-rich environment aimed at generating efficiencies.

Knowledge/Skills/Abilities:

Knowledge of university policies related to degree completion. Aptitude for learning new technology. Ability to interpret and explain policies to students, staff, faculty, and administrators. Positive attitude, strong sense of initiative and attention to detail. Ability to effectively communicate and maintain positive, cooperative relationships with co-workers, students, faculty and staff. Public speaking and conflict resolution skills. Ability to prioritize work, perform well under pressure and maintain accuracy and productivity despite interruptions. Ability to recognize and provide excellent customer service, make sound judgment calls, analyze and solve problems, multi-task, and work both independently and as part of a team. Ability to maintain a high level of confidentiality.

Required Experience:

Experience working with complex web applications, database management systems, Microsoft Excel, Microsoft Word, calendaring, email, and web browsers within the last 3-5 years. Familiarity with Banner, Toad/SQL and DegreeWorks within the last 3-5 years is preferred. Substantial experience working with post-secondary education and programs; prior knowledge of policies, admission requirements, student petition process, and graduation criterion or equivalent. Experience providing excellent customer service when interacting with students, faculty, staff, administrators.

Typical Education or Training:

Due to the nature of this position and the expectation of working with campus constituencies (faculty, administrators, graduate students, undergraduate students and academic deans), this position is expected to hold a bachelor's degree in a related field. Relevant experience may be considered.
