Position Summary:

Student Services is a great first stop for prospective students. Student Services offers students help with registration, admissions, financial aid, academic advising, and more! The Student Services Administrative Assistant will be essential in assisting the department with providing these services.


10Disability Support: Order equipment and supplies for DSS students and distribute equipment and supplies to students. Coordinate with other departments concerning DSS students. Maintain records for DSS students by creating and purging files. Distribute forms to note takers at the beginning of the semester. Collect verification signatures at the end of each semester. Verify the courses and addresses for each student. Forward this information to the Director of Administrative Services for payment.Essential
30Front Desk: First point of contact responsible for greeting students, general public, faculty and staff, determining their needs, and directing them to the appropriate person or resource. Follow strict confidential procedures to protect student records. Be diplomatic in responding to complaints and complex situations. Answer multi-line phone, route calls, take messages, and respond to questions. Provide front line services in financial aid, admission, and registration paperwork. Screen for accuracy and process paperwork by updating the student''s file or database and when needed route to the appropriate department or individual. Direct students to online services concerning admission, registration, financial aid, scholarship and funding information.Essential
30Office Support: Provide administrative support for counselors and front counter work. Compile student traffic statistics and produce reports. Maintain inventory and order office supplies and workshop materials. Obtain permission of payment from other departments for ordering graduation supplies. Process purchases via university credit card. Oversee service contracts on office equipment. Merge letters for distribution. Coordinate, prepare materials for, and publicize campus advising events or other outreach activities. Input and update advising information into the student database.Essential
30Scheduling: Schedule advising appointments and maintain the schedule calendar for the academic, career, and financial aid advisors. Track advising appointment data in student database. Ensure confidentiality of student records and follow FERPA guidelines. Produce unofficial transcript for students. Respond to email queries from students. Provide comprehensive information on MSC degree programs, policies, processes, and special events. Explain college procedures, deadlines, and forms. Describe available resources for students. Explain the steps to starting a college degree or enrolling in coursework. Guide students in the use of web-based student services. Contact students at the direction of advisors and counselors. Serve as a lead for student workers.Essential

Strong interpersonal, written and verbal communication skills, including active listening.
Ability to work well with students of a very diverse community, and provide an effective first contact experience. Able to maintain confidentiality. Ability to manage time and complete multiple projects within deadlines in spite of disruptions. Ability to accurately enter data with attention to detail. Ability to explain complex procedures. Strong interpersonal, organizational, and time management skills.

Knowledge of banner and financial aid programs is preferred.


Required Experience:

Customer service and clerical experience. Experience working as a team member, supporting others and adapting to multiple priorities.


Typical Education or Training:

High school diploma or equivalent. College level coursework or on-the-job training in customer service an/or office procedures.

Associate or higher degree is preferred.


Salary: Grade 76, Hourly rate $19.15, 12 month position.
