Position Summary:

UAS seeks applicants for the position of Associate Registrar. This position reports to the Registrar and is responsible for managing daily operations of the office and staff, monitoring database processing, production schedules, academic room scheduling, academic calendars, clearinghouse reporting, degree and graduation audits and transcript processing. The Associate Registrar oversees staff who provide various services including registration, reporting, academic records, transcript processing and a variety of student services. This position shares responsibility at the direction of the Registrar for the integrity, maintenance and enhancement of the student database, the registration system, academic records and website. Duties:

10Active participation on statewide work teams including Banner Student, Banner Coordination, DegreeWorks, Catalog and Course Schedule, Transfer, Parchment, Academic History, OnBase, Centralized Tuition Assistance Management and Banner Student Security work teams. In conjunction with the Registrar, research, analyze and advocate for technologies, procedures and processes to improve service offering to campus community. Assist the Registrar in determining budgetary needs and adjustments.Essential
10Maintain academic integrity by insuring consistent interpretation and application of FERPA, UA Board of Regents and UAS institutional policy and regulations. Serve as a resource for faculty and departments with questions regarding academic policy and the UAS catalog.Essential
10Serve on assigned committees and task forces; attend and participate in committee, staff, informational and professional meetings. Direct liaison with National Student Clearinghouse and Parchment. Assist with the proofing and integration of policies into the class listing, university catalog, commencement program and Registrar's Office forms and website. Serves as Acting Registrar when Registrar is out of the office. Provides academic history and insight concerning proposed policy and regulation changes. Provide in-depth analysis, interpretation and application of policy. Establishes and maintains semester set-up, registration and grading functions in Banner. Provides guidance for staff and faculty on student records, grading, and privacy issues. Perform other duties as assigned or needed for the smooth operation of the Registrar's Office.Essential
10Set example for staff by taking a proactive approach to developing and implementing systems, processes and procedures to provide quality and timely service to students, staff and faculty. Responsible for creation and fulfillment of regular test plans prior to major system upgrades (Banner Student and OnBase).Essential
15Provide backup to the Security Manager for Banner Student Information System for UAS. Applies rules for creating semester schedules, registration, graduation policies, report writing, analyze and interpret data; confer with counterparts at UAF & UAA concerning rules and regulations. Reviews operating budget with Registrar with recommendations for development and application.Essential
20Provide leadership and vision for Evaluations, Records and Degree Services, and Academic/Event Scheduling. Act as a liaison with extended campuses for the same functions to insure proper training of staff and implementation of new processes and technologies. Activities included are oversight of UAS student educational records, supervision of degree verifications and awarding degree/certificate audits and posting, academic record research, transcript production, enrollment and degree verification, academic record maintenance and verification and all aspects of transcript evaluations.Essential
25Determines work distribution and assignments, prioritize tasks and trains staff. Set goals, expectations, priorities and measures of success and completes annual performance evaluations for staff in Evaluations, Records and Degree Services, and Academic/Event Scheduling. Recommends staff for hiring to Registrar and supervises the work and training of staff and student workers; holds staff meetings at regular intervals; reviews and evaluates staff performance & provides performance reviews with assigned staff members. Supervise student employees and afford them meaningful experiences based upon the assigned tasks.Essential

Required Education & Experience

  • Four years of relevant experience and a Bachelor's degree in a related field; Or an equivalent combination of training and experience.

Preferred Education & Experience

  • Master's degree in a related field.
  • Previous experience working in academics. 
  • Previous supervisor experience.
  • Auditing and database management experience. 
  • Excellent written and interpersonal communication skills necessary.

Knowledge/Skills/Abilities

  • Database management abilities.
  • Strong analytical, problem solving and decision making skills.
  • Ability to demonstrate professional diplomacy.
  • Extensive knowledge and experience managing various diverse record systems including live on-line database production.
  • Ability to communicate effectively with diverse public and private population maintaining confidentiality of personal records and rights.
  • Familiarity with FERPA regulations is required.

This is a full-time, Grade 80, 12-month position complete with a full employee benefits package.
