Position Summary:

Office support position - Half time hours to start in March through mid-May 2018; Full time hours in the summer, approximately 5/14 – 8/31/18. Program Assistant for the Della Keats Program in the WWAMI School of Medical Education.  The Della Keats Health Sciences & Summer Research Program (Della Keats or DK) is a four-week program for Alaska high school juniors and seniors interested in pursuing a career in health or medical care and biomedical research.  The 2018 DK Program dates for the accepted students are July 8 – August 3, 2018.  The Program Assistant will serve as a first point of contact to the public for Pathways activities, programs, and special events and will be the administrative support for the DK summer program and its high school participants.  This a temporary position starting in March and ending in August, with part time hours to start, and will become full time to accommodate the DK four-week session that begins in July.  The full time program activities are expected from mid-May through August 2018. Successful completion of a background check and UAA code of conduct are required to work with minors on campus. Driving record is required.


Pathways Activities: 

Provide information and administrative support for the Della Keats Health Sciences High School Summer Program (DK) and other Pathway / Medical Pipeline activities, in person, over the phone, and via e-mail.  

Provide administrative, project and secretarial support as needed for the WWAMI Administrative Office. 

Design posters, brochures, flyers, other publications and electronic or display presentations for programs and events. Assist with Pathways PR to promote high school program activities to the general public. Attend college and career fairs and assist with promotional efforts.

Program Assistant for the Della Keats High School Summer Program:

Della Keats Program logistics and coordination –

Assist the WWAMI School of Medical Education administrative requirements for this high school summer program at UAA.   Design posters, brochures, flyers, other publications and electronic or display presentations for programs and events.

Assist students with application and enrollment paperwork.

Provide administrative support for selection committee and instructors.

Assist with program calendar and maintain ongoing changes.  Recruit presenters, organize tours, and assist with the DK student recruitment and data.   

Work with Anchorage School District and statewide contacts for ongoing high school applicants.

Provide guidance to high school students regarding DK registration and communicate with local hospital to assure students are compliant with immunizations for job shadowing opportunities.

Manage orientation activities to include catering, admissions paperwork, immunization records, and all student requirements to be accepted into the program.

Accomplish travel logistics if necessary for rural DK students, and account for travel.
Maintain and archive confidential student data and faculty files such as course syllabi, grade forms, and other department records.

Logistics and planning DK-related meetings and events including space, catering, travel for participants, meeting packets, meeting documentation; coordinate logistics for larger conferences, forums, planning events and other activities.

Process action items and assure fast and efficient flow of paperwork and communication for the program.
Other duties as assigned to include maintaining administrative office procedures manual.

Data Management: 

Manage data sets for multiple projects.  Research, compile, and produce reports and statistical information as needed, and assist with data entry. 

Annually update and administer paperwork and maintain student and history databases.

Assist with design and implementation of survey instruments and web forms.

May assist with Della Keats website and Facebook accounts.


Excellent written and verbal communication skills. Knowledge of database software such as Excel and graphic software such as Microsoft Publisher. Ability to create and understand basic database, input data and create reports. Ability to conduct on-line research.

Able to effectively interact with various levels of the university community and outside individuals/groups.

Requires attention to detail, precision and accuracy. Ability to work independently as well as in a team environment.

Ability to be trained to use Banner for student records. 
Minor training and background check will be required. 

Typical education or training required:  2 years of college coursework in a field relevant to fiscal, administrative or database management, and/or equivalent experience. Valid AK driver's license. UAA driving training course.  University FERPA certification will be required. 

Required Experience:

An equivalent combination of training and experience of at least 2 years of college coursework in a field relevant to fiscal, administrative or database management.

Typical Education or Training:

Previous experience working in university or other setting with K-12 and/or university level student support services preferred. Familiarity with Alaska health issues and data sources. Ability to interact with AK Native Organizations and/or AK Native, rural Alaskans or indigenous populations. Familiarity with UA policies, regulations and procedures.  Previous experience with the DK Program.  Graphic and web design experience or training.  UAA Banner.


Background check will be required before being hired.
