Position Summary:

This position acts as the lead Payroll and Personnel Assistant (PPA), and Events Coordinator for the UA Office of Information Technology (OIT). The incumbent will work with OIT staff, supervisors and the Office of Human Resources to coordinate hiring and personnel actions.  The position is also responsible for coordinating events, conferences and training sessions that may include numerous UA departments as well as non University attendees and presenters.

10Procurement and Travel Management Procurement duties including requisitions, purchase orders and receiving, and properly documenting all budgetary commitments. Create and process travel authorization forms, arrange travel, accommodations and transportation as needed and process travel expense reports.Essential
10This position manages multiple student schedules and delegates tasks, hires, may perform terminations, and manages performance for student staff in collaboration with the Assistant to the Chief Information Technology Officer. This position will perform additional administrative duties as required to ensure the successful daily operations of the Office of Information Technology (OIT). The Office of Information Technology has primary locations in the Butrovich and the Bunnell buildings.Essential
20OIT Event Coordination Serve as primary event coordinator for large-scale campus and system IT events, conferences, training sessions, etc. Manage event timelines and all necessary services including facilities/ venues, travel, accommodations, transportation, catering, security and technology needs. Must also oversee marketing activities and budget/ expenditures for planned events.Essential
60Human Resources As the OIT Personnel and Payroll Assistant, support hiring managers with recruitments and personnel actions. Coordinate between UAF HR office and department personnel. Manage technical aspects as they arise.Essential

Knowledge/Skills/Abilities:

Demonstrated general HR knowledge. Exceptional interpersonal skills including tact and diplomacy. Excellent customer service skills. Proficiency with MS Office (Word & Excel). Must have good internet research skill. Knowledge of general accounting procedures and procurement regulations.

Required Experience:

Minimum of 3 years progressively responsible experience in office/administrative, human resources, business management, accounting or related field. Demonstrated experience in event coordination. Prefer 3 or more years experience in customer service.

Typical Education or Training:

Some college coursework in Business, HR, Administration, Accounting or related field.
Must have a valid Driver's license and be able to obtain UA/UAF Driver's certification for use of University vehicles.

Probationary Period:

Pursuant to University Regulation 04.07.020, new employees of the University are employed in an at-will probationary status for the first six months of employment.   During the probationary period, employment may be terminated for no reason or any reason.  Promoted employees also serve a probationary period with limited rights of retreat.
