We provide travel processing, booking, and reimbursement services to several major UAF units, and we are expanding. We are looking for an assistant to help our travel coordinators with a variety of office tasks.The right applicant will be flexible, friendly, and detail-oriented. If you can multi-task effectively, have a basic knowledge of office computer functions, and excellent customer service skills, Shared Travel Services is looking for you.
15 Reporting Activities- Gather and compile data for reports, use the travel log to create basic reports, track volume and other metrics, audit log for accuracy, identify and find missing info, assist in organizing and proper storage of ProCard statements. Essential
40 Administrative Activities- Enter information in computer systems, log approved ATs/TAs, log paid ERs, log completed No-Cost TAs. Review information for accuracy and consistency. Audit Travel log for completed trips, move to correct tab. Organize and maintain filing system, file completed TAs and ERs, audit files for duplicates, set up new FY filing
systems and arrange previous FY travel files for auditor access. Monitor out-of-date trips, send remiders to travelers for open TAs, track reminder delivery, use the travel log to generate and edit TAs/TERs, audit travel documents for accuracy and compliance with regulations, procedures, and guidelines, identify missing information. 40 Fiscal Activities -Provide technical and clerical support for travel-related fiscal activities. Prepare JV paperwork and process JVs, close out cancelled trips by releasing encumbrances, assist with open encumbrance list, access Banner to assist travel coordinators in preparing, processing, and routing travel documents. 5 Customer Service Activities- work with travelers to obtain information regarding TAs/ERs, answer questions about travel process and regulations, direct travelers to appropriate resource/staff member/etc. Essential
Knowledge Skills and Abilities:
Knowledge of basic computer operation and electronic spreadsheets. Ability to maintain accurate and detailed records. Ability to work closely with travel office staff. Ability to learn and use booking tools/travel programs/accounting programs as needed. Customer service and communication skills.
Required Education & Training:
High school graduation and six months of fiscal related experience or an equivalent combination of training and experience. Training in complex data entry.Sufficient experience of the knowledge, skills and abilities listed above in order to perform desired duties.

Term Position: This position is a term-funded position and is reviewed annually for contract renewal at the University's discretion.
