Position Summary:

Full-time year-round position with benefits.

Duties:

This is a full-time year-round position with benefits. Work is performed under general administrative supervision. Work includes a variety of office assignments with specialized complex clerical work and/or a wide variety of clerical services requiring independence, judgment and initiative in determining office/program needs, in prioritizing and organizing work, and in determining the appropriate action to be taken. May coordinate large / specialized projects or events. This is a fully proficient level, requiring knowledge and experience to perform various office assignments.

  • Work with program faculty to support maritime trades adjunct faculty.
  • Assist faculty and adjunct instructors to obtain course materials/equipment as needed.
  • Draft memorandums of agreement, purchase requisitions, vehicle requests, verifications of pay and other forms required for the maritime trades programs.
  • Work with marketing department to create marketing materials
  • Work with appropriate campus staff to update KRMCC web site.
  • Maintain records to ensure USCG, Risk Management and UAS policies and procedures are followed.
  • Work with campus staff in purchasing, billing, student accounts, student advising, registration and marketing to meet the goals of the maritime trades programs.

Typical Functions Include, but are not limited to:

  • Answer the phone, take messages, and disseminate information on maritime trades programs and courses
  • Screen calls/correspondence, answer routine inquiries, and/or provide information or refer inquiries to appropriate staff members
  • Develop, maintain, and track records of students and course files
  • Organize and maintain filing systems
  • Distribute information and course materials
  • Maintain an inventory of equipment and supplies
  • Order supplies and equipment to support offices, programs, labs, etc
  • Deliver materials and equipment as needed
  • Move equipment to and from storage to classrooms or offsite labs
  • Prepare correspondence which may include editing drafts, composing correspondence for supervisor’s signature, drafting letters or memorandums, and/or initiating correspondence requiring knowledge of procedures and processes
  • Compile information for routine reports, directories, course support, org charts, etc
  • Assist with reserving outside facilities such as the Gateway Aquatic Center and N. Tongass Fire Department.  
  • Record and transcribe proceedings of meetings and conferences
  • Maintain and develop routine web pages
  • May develop procedural manuals
  • Troubleshoot and resolve problems that may arise
