The IT Business Office and the Assistant to the CITO (Chief Information Technology Officer) are looking for a motivated and versatile student to add to its team. Gain valuable work experience in a professional office environment.
General Office Support:
Answer multiple line telephone and transfer calls or take messages as needed, assist walk up customers or delivery persons at the IT Business Office (ITBO) front desk, open/close ITBO main offices, deliver mail or route documents with a high degree of confidentiality. Ability to organize and develop filing systems. Assist staff with operating printer, laminator and other small office equipment.
Complete office supply and other orders using a department Procard. Reconcile invoices/payments for items purchased. Data entry into MS Excel spreadsheets of purchasing transactions. Prepare journal vouchers to correct budget entry errors. Receive orders delivered and distribute to appropriate individuals. Assist ITBO staff members with these tasks as well.
Review and look up fiscal information in Banner query (check PO status, ensure correct accounts charged, check inventory information). Perform data entry and reconciliation for a large volume of fiscal transactions. Call in phone orders, pick-up ordered items, and deliver items received. Receive orders (compare packing slips to shipment and resolve discrepancies). Update employee training tracking spreadsheet, phone lists and other documents.

Additional position details
The IT Business Office (ITBO) provides administrative and fiscal support to the Office of Information Technology (OIT). Specifically, ITBO provides support or coordinates the following business functions: budget, accounting, procurement, travel, time sheets, recruitment, inventory, and general office support.
This position will assist the IT Business Office and the Assistant to the CITO (Chief Information Technology Officer) with general office duties such as answering phones, assisting staff and walk-up customers, receiving and distributing mail, and purchasing.

This is a part-time position offering up to 20 hours/week while school is in session, additional hours available during summer/winter breaks. Student Assistant C positions pay $10.50/hr.
Education and/or training required for this position (including licenses)
High school diploma or equivalent.
Type and length of experience required for this position
Valid Alaska Drivers License or the ability to obtain before hire.
Knowledge, skills and abilities required for this position
Demonstrated use/knowledge of office equipment, including photocopying and scanning. Ability to use MS Office Suite of software to compose correspondence, enter and manipulate data (Word, Excel, PowerPoint). Professionally greet visitors, answer the telephone, route calls, and provide basic information. Ability to communicate effectively both verbally and in writing. Possess a high level of organizational skills, the ability to work independently with minimal supervision, work under pressure and complete complex tasks. Must be able to maintain confidentiality.
Prefer previous experience in an office environment. Experience with Accounts Payable or Account Reconciliation strongly preferred. Experience entering and/or extracting information from Banner or other administrative databases.
