This position serves as the first point of contact for all individuals contacting the UAA Dean of Students Office (DOSO). The primary responsibility of the position is to greet callers and visitors in a professional, courteous and helpful manner. As the main individual providing reception to UAA DOSO, the successful applicant will be responsible to provide basic information upon request and direct callers and visitors to the appropriate individual in the DOSO department or to other departments within UAA.
The successful applicant will also be working with the UAA DOSO staff to prepare documents for distribution and filing.
Other administrative duties may include:
Contacting students to schedule meetings;
Scanning, shredding and/or copying documents for both small and large projects;
Maintaining accurate, up-to-date forms and documents as requested;
Creating professional communications for email or print;
Providing support for DOSO staff in a variety of duties as needed. Essential
This position is a Student Assistant C position at the University of Alaska Anchorage's Dean of Students Office. The Dean of Students Office utilizes student positions to a great extent. We are flexible each semester with students in creating a schedule that will accommodate their class work but we depend on students to maintain that schedule. The work varies from simple tasks like stuffing envelopes to utilizing our Advocate database system. Training will be provided but an eye for detail and a commitment to accuracy are critical skills for this position.
The number of hours per week is flexible, however the student must be motivated and willing to fulfill their hourly commitment. Due to the amount of training required for this position, preference will be given to students who can continue to work during semester breaks. Students with Federal Work Study eligibility are strongly preferred.
The successful applicant must have the ability to take direction from multiple individuals. They must be able to prioritize assignments and clearly communicate to ensure deadlines are met. The ideal candidate would have experience with computers to include knowledge of Microsoft Excel, Word and Outlook. Must be able to communicate effectively and professionally with UAA management, faculty and staff. Must be able to demonstrate the highest level of telephone etiquette and enjoy providing excellent customer service. Must be pro-active in requesting clarification of expectations when unclear about an assignment or ability to complete an assignment.
The DOSO often handles and responds to extremely sensitive requests and confidential issues and must maintain a high level of confidentiality. The incumbent of this position must clearly understand both the expectations of, as well as the limitations of the position and know when to refer an individual to the appropriate professional for assistance.
The individual must be dependable and demonstrate pro-active efforts to seek work during slow periods. The successful candidate will be able to effectively perform tasks in an open environment with multiple interruptions.
No previous office experience is required, although the individual must demonstrate a good understanding of the needs and expectations of working in a professional office environment. It is preferred that the applicant have knowledge of general office equipment such as fax, scanners, copiers and computers and MS Office software including MS Word, Excel and email.
Typical Education or Training:
High School Diploma or equivalent.
